1. Introduction

Dr. Lewis S. Libby Elementary School is requesting proposals for the relining and refinishing of the gymnasium floor located at 13 School St., Milford, ME 04461. This project aims to restore and enhance the gym floor to improve its aesthetic appeal, safety, and usability for school events, sports activities, and community functions.

Please include information on  how long the new finish will last and if it can be refinished again.

Additionally, if able, submit an alternative  quote for an appropriate alternative flooring material to replace the flooring that is currently in place. This should be submitted as a separate proposal.

2. Scope of Work

The scope of work includes, but is not limited to, the following tasks:

  • Approximate Square Footage: 5,624 sq ft

  • Preparation: Remove bleachers, all thresholds, and baseboard

  • Relining the Gym Floor: Repaint lines for basketball, volleyball, pickle ball etc. in compliance with current regulations and specifications. Additional lines may be discussed during your site visit.

  • Refinishing the Floor: Sanding, re-coating, and refinishing the wood floor to restore its appearance and functionality, ensuring a smooth, durable finish suitable for athletic use.

  • Floor Preparation: Preparation of the existing floor surface, including cleaning, sanding, and repairs of any damaged or worn areas before refinishing.

  • Safety Considerations: Ensure that all materials used are non-toxic and meet any applicable safety standards.

  • Permits: Acquiring any necessary permits at the local, state, or federal level for the project. 

  • Finishing: Install new thresholds, new baseboards, and reinstall bleachers

  • Timeline: The work must be completed within [insert timeframe, e.g., 2 weeks] from the project start date. Specific start and end dates should be outlined in the proposal.

  • Post-Project Clean-Up: Removal of any debris and final cleaning of the gymnasium floor.


3. Proposal Requirements

All proposals must include the following:

  • Company Profile: Include a brief overview of your company, including experience in gym floor refinishing, relevant certifications, and references.

  • Detailed Plan: A step-by-step description of the proposed work, including timelines and any necessary preparation steps.

  • Cost Breakdown: A clear itemized breakdown of the costs for labor, materials, and any additional services (e.g., repairs, special coatings).

  • Warranty Information: A description of the warranty for both workmanship and materials.

  • Completion Timeline: Estimated start date, duration of the project, and a proposed completion date.

  • Insurance and Licensing: Proof of appropriate insurance coverage, business licenses, and any required bonding.


4. Evaluation Criteria

Proposals will be evaluated based on the following criteria:

  • Experience and qualifications of the contractor

  • Quality and clarity of the proposed work plan

  • Cost competitiveness and transparency

  • References and reputation in the industry

  • Ability to meet the proposed timeline

  • The awarded contractor will be required to sign a contract outlining the terms of the project.
